Office Assistant

Full-time, 36 hours/week – hours of work determined by Office Manager

Qualifications

Required

1. High school diploma/GED
2. Computer literate

Job Responsibilities

Open the Senior Center office (unlock doors, turn on open sign, make coffee).

Greeting people coming to the Center or calling the Center

1. Make guests/callers feel welcome
2. Assess their needs
3. Provide help if possible or direct them to the right agency/person
4. Knowledge of proper agencies to assist seniors will be learned on the job

Handle all incoming monies and ensuring they are put in the correct categories

1. Count, recount, and receipt all money from Helping Hands, BINGO, Concessions, Dinners
2. Record all money received for meal cards, memberships, etc.
3. Record and receipt all raffle ticket information, fundraising, special dinners, and Holiday Bazaar
4. Prepare gaming and regular deposits each week

Make up all money tills for the week

1. Dinner till
2. BINGO till
3. Concession till
4. Helping Hands till
5. Any special tills needed during the year for special sales (fabric sale, bake sale, etc.)

Filing of all documents and pertinent information:

1. Mail gets checked on way into work, and bills placed in folder To be Paid
2. Timecards are collected and given to manager every two weeks before bookkeeper arrives
3. Other correspondence is addressed, junk mail thrown out

Help Office Manager prepare for Events:

1. Snow Rondi
2. (3 day BINGO and 3 day breakfast tills)
3. Annual Meeting
4. Senior Farmers Market Program
5. Special Dinners/Breakfasts (Veterans Eat Free, Valentines Day)
6. Holiday Bazaar – Flea Market – Vendor Fairs
7. Annual Membership Renewal

Monthly Newsletter and Membership renewal paperwork:

1. Gather and send all birthday and anniversary cards to members (Star)
2. Prepare pages for the newsletter and organize to go to print
3. Have someone proofread
4. Get newsletter printed and out to members
